Who we are
South Salem Senior Center is a 501(c)(3) nonprofit organization located in Salem, Oregon. Our website address is https://www.southsalemseniors.org. Contact information appears at the end of this policy.
POLICY OVERVIEW
This policy explains information associated with comments, uploaded media, contact forms, cookies, embedded content, accounts, events, and third-party services.
What personal data we collect—and why
Information is collected when needed to operate website features, communicate with visitors, maintain accounts, and prevent spam.
Comments
When visitors leave comments, the site collects the information shown in the comments form, along with the visitor’s IP address and browser user-agent string to help detect spam.
An anonymized string created from an email address may be provided to Gravatar. After a comment is approved, the associated profile picture may be publicly visible with the comment.
Media
If you upload images, avoid images containing embedded location information such as EXIF GPS data. Website visitors may be able to download images and extract that location information.
Contact forms
When you use a contact form, the center collects the information submitted, which may include your name, email address, phone number, and other information you choose to provide. An IP address and browser user-agent string may also be collected for spam detection.
This information is not used for marketing or to add you to mailing lists.
Cookies
Comment forms may offer to save your name, email address, and website in cookies for convenience; these cookies last one year.
A temporary login cookie checks whether your browser accepts cookies and is discarded when the browser closes. Login cookies generally last two days, screen-option cookies one year, and “Remember Me” login cookies two weeks. Logging out removes login cookies.
Editing or publishing an article creates a cookie containing no personal data that identifies the post; it expires after one day.
Embedded content
Articles may contain embedded videos, images, articles, or other content. Embedded content behaves as though the visitor went directly to the originating website.
Those websites may collect information, use cookies, include third-party tracking, and monitor your interaction—including when you are logged into an account on that external website.

Who we share data with
Information may be shared with third parties that assist with operating the website, conducting center business, or serving website users. This may include the website host, web developer, and developers of third-party platforms and plugins used on the site.
The policy states that personal information will not be shared or sold to outside parties.
How long we retain data
Comments and their metadata may be retained indefinitely so follow-up comments can be recognized and approved automatically.
For registered users, if any, the site stores personal information provided in the user profile. Users may view, edit, or delete their personal information at any time except for their username. Website administrators may also view and edit that information.
Your rights over your data
If you have an account or have left comments, you may request an exported file of personal information held about you, including information you provided. You may also request deletion of personal information.
This does not include information the center is required to retain for administrative, legal, or security purposes.
Where data may be sent
Visitor comments may be checked through an automated spam-detection service.
Privacy information from event plugins
The existing policy includes disclosures for event, venue, organizer, import, and ticket information.
Event, venue, and organizer information
If a user creates, submits, imports, saves, or publishes event-related information, it may be retained in the local database.
Venue information: name, address, city, country, state, postal code, phone, website, and geographical coordinates.
Organizer information: name, phone, website, and email.
Event information: website, cost, description, date, time, and image.
Imported event information
Imported information may include all data in CSV or ICS files and external URLs for events, venues, organizers, and tickets. Import-origin information may include the source URL from services such as Eventbrite, Meetup, and other compatible sources.
Eventbrite ticket information may include the ticket name, description, cost, type, and quantity. Eventbrite manages attendee, purchaser, and order information for Eventbrite ticket purchases.
Community event submissions
Creating events through a Community Events submission form may require a website account. This information is retained in the local database. Anonymous event creation may also be possible if enabled by the site owner.
API keys
The website may use API keys to provide specific features. These may include third-party services such as Google Maps, Meetup, PayPal, and Eventbrite, including API keys, authorization URLs, and client secrets.
How information is protected
The existing policy describes several technical and administrative safeguards.
Website safeguards
• The website is scanned regularly for security holes and known vulnerabilities.
• The hosting service conducts regular malware scanning.
• Personal information is kept behind secured networks and is accessible only to a limited number of authorized people who must keep it confidential.
